Terms of Use

These Terms govern use of Robotics Program Manager ("RPM"), a service operated by West Michigan Data. By using RPM, you agree to these Terms. If you use RPM for an organization, you confirm that you are authorized to act for that organization.
Purpose and accounts
RPM supports robotics-program administration, including contacts, teams, activities, schedules, attendance, registrations, events, staff assignments, and one-way notifications. Access is based on organization membership, family relationships, roles, and assignments. You must provide accurate information, use your own Google or Microsoft identity, protect your account, and promptly report suspected unauthorized access.
Organizations and participant information
Each participating organization controls its program records and determines who may access them. The organization is responsible for having appropriate authority to enter and use participant, guardian, staff, and volunteer information and for assigning access responsibly. West Michigan Data remains responsible for its own legal obligations and does not transfer those obligations to participating organizations.
Guardians and authorized staff should provide only information reasonably necessary for program operations. Sensitive notes must be factual, respectful, and limited to legitimate safety, accessibility, medical, or program-support needs.
Youth use
RPM is not offered for independent self-registration by children. A minor may use RPM only through an account and role authorized by a participating organization and, where required, a parent or guardian. Children under 13 must not submit personal information directly unless an approved notice and parental-consent arrangement is in place.
Acceptable use
You may not use RPM to violate law or another person's rights; access records outside your authorization; harass, threaten, or discriminate; upload malicious material; probe or disrupt security; share credentials; misrepresent identity or authority; or send unlawful, deceptive, or unsolicited communications. You may not use private participant information for unrelated commercial purposes.
Communications
RPM may prepare or send notifications at an authorized user's direction. The sender and participating organization are responsible for message content, recipients, timing, and applicable consent. Delivery can be delayed, rejected, duplicated, or affected by email providers. RPM is not an emergency-alert system, and users must not rely on it for urgent medical, safety, or emergency communication.
Third-party services
RPM may use or link to services supplied by Google, Microsoft, competition vendors, hosting providers, and other third parties. Their separate terms and privacy practices apply to their services. West Michigan Data is not responsible for third-party services outside its control.
Service changes and suspension
We may maintain, modify, limit, or discontinue features. We may suspend access when reasonably necessary to protect users, data, the service, or others; investigate suspected misuse; comply with law; or address an organization's account status. Where practical, we will provide notice and an opportunity to resolve the issue.
Disclaimers and responsibility
RPM is provided on an "as available" basis. To the extent permitted by law, West Michigan Data disclaims implied warranties, including merchantability, fitness for a particular purpose, and noninfringement. RPM assists with program administration but does not replace professional medical, legal, safeguarding, accounting, or emergency judgment.
To the extent permitted by law, West Michigan Data will not be liable for indirect, incidental, special, consequential, or punitive damages arising from use of RPM. Nothing in these Terms excludes liability that cannot legally be excluded.
Changes and governing law
We may update these Terms by posting a revised version and effective date. Continued use after the new Terms take effect constitutes acceptance. These Terms are governed by the laws of Michigan, without regard to conflict-of-law principles, except where applicable law requires otherwise.
